How to Record and Categorise Your Expenses

Recording your expenses in Books → Expenses is what enables Books to calculate your true profit (not just what you bring in, but what you actually earn after costs). It’s also the foundation for preparing your tax information.

How to record an expense

  1. Go to Books → Expenses
  2. Click Add expense
  3. Enter the amount, date and category
  4. Optionally, attach the receipt (supplier invoice, receipt, ticket)
  5. Save. The expense will be reflected in your reports and profit calculation

Common expense categories

  • Software and tools (SaaS): subscriptions to digital tools
  • Suppliers and freelancers: fees for collaborators
  • Advertising and marketing: campaigns, ads, design
  • Aiden subscription: your own Aiden Startup fee
  • Materials and equipment: computers, office supplies
  • Travel and entertainment: travel, business meals

Why it’s important to attach the receipt

For an expense to be tax deductible, you normally need to keep the corresponding invoice or receipt. Attaching the receipt in Books keeps everything in one place and makes tax preparation or working with your accountant much easier.

💡 Tip: record expenses as they happen, not at the end of the month. It’s easier to avoid missing any and you’ll always have a true picture of your business.
