How to create and send your first invoice

Creating an invoice in Aiden Books takes less than a minute once you’ve set up your company details. Here’s the complete process, step by step.

Before you start

Make sure you’ve completed your company information in Books → Settings (name, VAT number, address, logo, IBAN and currency). This information will appear on the invoice. If you’re taking card payments, connect your Stripe account as well.

Step 1 — Open the invoice builder

Go to Books → Invoices and click the New invoice button (the green button with the + symbol).

Step 2 — Select or create a customer

Choose a customer from your database using the dropdown selector. If it’s a new customer, you can create them on the spot without leaving the invoice: enter their name, email, VAT number and address. They’ll be saved for future invoices.

Step 3 — Add line items

For each line on the invoice, enter:

  • Description: the product or service you’re invoicing for
  • Quantity: number of units or hours
  • Unit price: price per unit
  • VAT type: the applicable percentage (0%, 21%, etc.)

The subtotal, taxes and total are calculated automatically. If you have products saved in your catalogue, you can select them directly and they’ll fill in automatically.

Step 4 — Set up the payment method

Choose how you want the customer to pay you:

  • Bank transfer: your IBAN will appear on the invoice
  • Card (Stripe): the customer receives a link to the payment portal invoice.aiden.es
  • PayPal or Wise: if you have them set up

Step 5 — Review and save

Check that all the details are correct. You can save as a draft to finish it later, or proceed to send it.

Step 6 — Send the invoice

Click Send / PDF. You have two options: send it directly to the customer’s email from the dashboard itself, or download the PDF to send it yourself or keep it on file.

💡 Tip: save your most frequently used services as products in Books → Products. That way, when creating future invoices, you can select them with a single click instead of typing them each time.

What happens after you send it?

The invoice moves to Sent status. When the customer pays (card payments are marked automatically; for bank transfers you mark it manually), it will move to Paid and be reflected in your reports and balances.
